AI Text Generation

QuillCRM includes AI-powered text generation to help you write email content, SMS messages, and WhatsApp messages directly from contact profiles and deal details. Instead of writing from scratch, describe what you want and the AI generates a ready-to-send message.

Prerequisites

AI text generation requires a configured AI provider. Navigate to Settings → AI to set up your provider and API key. See the AI Settings documentation for details.

Where AI Text Generation is Available

The AI text generation button appears in several places throughout QuillCRM:

Using AI Text Generation

In Email Dialogs (Contact & Deal)

  1. Open the Send Email dialog from a contact profile or deal detail view.
  2. Click the Generate Subject & Body with AI button (marked with a sparkle icon).
  3. A prompt field expands where you can describe the email you want to write.
  4. Enter your description (e.g., “Write a follow-up email thanking them for our meeting and proposing next steps”).
  5. Click Generate to create the content.
  6. The AI generates both a subject line and an HTML-formatted email body, which are automatically filled into the respective fields.
  7. Review and edit the generated content as needed before sending.

Personalization: When sending individual emails from a contact profile, the AI uses the contact’s actual name and details from the context to write naturally personalized content — no merge tags or placeholders are used.

In WhatsApp & SMS Dialogs

  1. Open the Send WhatsApp or Send SMS dialog from a contact profile.
  2. Click the Generate with AI button.
  3. Describe the message you want to send.
  4. Click Generate to create the message text.
  5. For SMS, the AI respects character limits to keep messages concise.

In the Email Builder Text Block

  1. While editing a text block in the drag-and-drop email builder, click the AI icon in the block toolbar.
  2. Enter a prompt describing the text content you want.
  3. The AI generates formatted HTML text that is inserted directly into the text block.
  4. This is useful for quickly drafting paragraphs, feature descriptions, or call-to-action copy within your email templates.

How It Works

When you generate text, QuillCRM sends your prompt along with contextual information (such as the contact’s name and the communication channel) to your configured AI provider. The AI returns formatted content tailored to the specific use case:

  • Emails: Returns HTML-formatted content using paragraph, bold, italic, heading, list, and link tags for rich formatting.
  • SMS: Returns plain text optimized for the character constraints of SMS messaging.
  • WhatsApp: Returns text formatted appropriately for WhatsApp messaging.

Tips for Better Results

  • Be specific about the purpose: “Write a follow-up after a product demo” produces better results than “write an email”.
  • Mention key details: Include product names, meeting dates, offer details, or any specific information the message should reference.
  • Specify the desired action: Tell the AI what you want the recipient to do (e.g., “schedule a call”, “complete their profile”, “use a discount code”).
  • Review before sending: Always review AI-generated content for accuracy and appropriateness before sending to contacts.
