Learn how to interact with the AI Assistant to get the most out of your CRM data and automate common tasks.
Opening the Assistant
There are two ways to open the AI Assistant panel:
- Floating Button — Click the sparkle button (✨) in the bottom-right corner of any QuillCRM page.
- Keyboard Shortcut — Press
Ctrl+K(Windows/Linux) orCmd+K(Mac) to toggle the panel open or closed.
Context-Aware Suggestions
The assistant detects your current page and offers relevant suggested prompts:

What You Can Ask
The AI Assistant can answer questions and take actions across your entire CRM. Here are common use cases:
Contacts
- “Search for contacts with the tag VIP”
- “Show me John Smith’s details”
- “Create a contact for jane@example.com with name Jane Doe”
- “Add the tag ‘Webinar Attendee’ to contact #42”
- “Add a note to Sarah’s contact: ‘Called about renewal'”
Deals
- “Show my open deals”
- “Create a deal called ‘Enterprise License’ worth $50,000 in the Sales Pipeline”
- “Move deal #15 to the Negotiation stage”
- “What’s my pipeline summary?”
- “Which deals are at risk of closing late?”
Tasks
- “What are my pending tasks?”
- “Create a follow-up task for contact #25 due next Friday”
- “Mark task #8 as complete”
- “Show overdue tasks”
Emails
- “Show the email history for this contact”

Tool Call Indicators
When the AI uses a CRM tool, you’ll see status indicators in the chat:
- Executing — A spinner with a label like “Searching contacts…” or “Creating deal…”
- Completed — A wrench icon with a summary like “Found 5 contacts” or “Created successfully”
- Entity Links — Clickable links to contacts, deals, or campaigns that the AI found or created. Click to navigate directly.
Conversation History
Conversations are automatically saved. To manage them:
- New Conversation — Click the + button in the panel header to start a fresh conversation.
- View History — Click the clock icon to browse previous conversations. Click any conversation to resume it.
- Delete — Click the trash icon next to a conversation to delete it permanently.
Conversations are scoped to the current user — each user has their own private history.
Email Drafting
The AI can draft emails using your business context and the contact’s email history. When you ask the AI to draft an email:
- The AI reads the contact’s recent email thread for context.
- It uses your configured brand voice and business profile to match your tone.
- It generates a draft with a subject line and body.
- The draft appears in the chat — it does not send the email automatically.
- Copy the draft and send it from the contact’s email composer in the contact detail page.
Stopping a Response
If the AI is taking too long or you want to cancel, click the stop button (■) next to the input field. This aborts the current request immediately.
Tips for Better Results
- Be specific — “Find contacts tagged VIP who signed up this month” works better than “Find some contacts”.
- Use context — Open the relevant contact or deal page before asking questions. The AI automatically includes that entity’s details.
- Configure business context — The more the AI knows about your business, the better its suggestions and email drafts.
- Chain actions — You can ask multi-step questions: “Find the contact for jane@example.com, add the VIP tag, and create a follow-up task for next week.”
